Who is WellKom

In 2001, I established WellKom to build on what I had seen in my time at Nike. Elite performers achieving better and better results through applied sports science. Why couldn’t it be possible for everyone to benefit from this mental and physical know-how? To promote Personal Performance – Wellness Management as a 4th Life Capability (literacy, maths, IT being the others). Then, once recognised, offer a highly personalised way to develop it through psychometrics – the “Myers Briggs of Wellness” but with two extra features: developmental recommendations / resources and aggregated management intelligence. Adapting elite sports know-how into everyday value for as many people as possible.

A unique opportunity to enable you to hold a mirror to yourself, in a private and confidential way, (not preaching, but building on your strengths) and to find out about how you manage your wellness in your Whole Life – not just your “Field of Play” (work for employees / study for pupils / students etc.) but in the “Field of Life”. Then be able do something to improve it. In a way which gives you the best chance of success – measuring and reviewing progress every six months or annually to inspire you to even more success.

WellKom’s terms of use and privacy policies will be clear, fair, and transparent. WellKom will not cover every possible future contingency, or claim rights and powers just because it can or because doing so is industry standard.

What We Collect and Receive

In order for you to create an account on and use our Services, we need to collect and process certain information. Depending on your use of the Services, that may include:

Information you provide by completing forms— your name, email, organisation, job title, country of residence, login, and password details. If you complete the personal wellness questionnaire, we will save your responses on our secure server, unless and until you ask us to delete your responses.

Any User Content you add to your account in My Safe. We don’t use or view this information and simply provide the Services in My Safe as a personal file storage facility. The documents you upload here are stored on our secure server.

Information about your activity on and interaction with WellKom, including use of our mobile apps (such as your IP address, the type of device or browser you use, and your actions on the Site);

Information about the ways people visit and interact with our Site, in the form of traffic analytics. You can opt out of being included in Google Analytics here. For more information about our use of data analytics to protect and improve our Services, see our Cookie Policy;

Communications you send to us (for example, when you ask for support, send us questions or comments, or report a problem);

The email address associated with your Facebook account, if you choose to sign up using your Facebook credentials. WellKom may also request permission to access your name, profile picture, and friend list (these permissions are governed by Facebook’s privacy policies and can be managed through your Facebook privacy settings). We never post anything to your Facebook, Google+, or other third-party accounts without your permission.

You may decline to provide us with your information. However, this will limit your ability to register for an account or use our Services. You may review, change or remove your information by emailing technicalservices@wellkom.org

Use of Data for Research Purposes

As part of WellKom’s commitment to improving the working environment, some of your data may be collated and shared anonymously with third parties for research purposes. You are entitled to have your data modified or deleted from our servers. If you wish to do so, please contact technicalservices@wellkom.org

We use identity, device, and location information to prevent fraud and abuse and to keep the Services secure. We may also send you promotional communications about our Services, subject to your right to control whether we do so.

We analyse how users interact with our Site so we can understand better what elements of the design are working well and which are not working so well. This allows us to improve and develop the quality of the online wellness account we offer all our users.

This is not an exhaustive list and is subject to change where business, legal or regulatory requirements may dictate. We may combine information received from other sources with information we collect about you for the purposes set out above.

Data minimisation

We will only keep the minimum data required to maintain your personal wellness account and record and display for your personal development that which is strictly necessary, in accordance with the purposes as described in the section above

Storage limitation

We will only keep your information as long as you are an active customer. This means that if you should cease to access your account for longer than a year, we will delete your personally identifiable information. We will keep your personal wellness account open for a year because you may wish to leave some time between one profile and another to compare your wellness over a longer period of time. Users can leave up to one year between one profile and the next.

Your information will be deleted immediately upon request to technicalservices@wellkom.org

Once a year, the data we hold on record will be reviewed, deleted and / or anonymised as set out in this document.

Anonymised data may be held for a period of three years for research, scientific and statistical purposes. The reason for doing so is that it allows us to adapt and improve your personal wellness profile based on current trends and changes in the fields of health and wellbeing, and ensures that your personal wellness profile is always relevant and provides you with the most up to date resources and wellness strategies.

How This Information Is Shared

How we may keep, store and dispose of data

o We may continue to keep non-personally identifiable data for the research and statistical purposes to improve our Services. o To keep your account secure and protect our Services (including to verify the identities of creators and prevent fraud and abuse); o To enable us to provide you with our Services, and to improve and promote our Services; o To create and administer your account, contact you, and customize your experience of your online wellness account; and o To track and analyse use of the Services so that we can improve your online wellness account and provide you with the best experience possible.

None of your information is publically shared. We will not transfer your data outside of the EEA.

Information may be shared with trusted third parties such as an external statistician. If we do this we will ensure that all information shared is anonymous and can’t be traced back to an individual user on our site. The information shared is numerically encoded and cannot be interpreted by outsiders in the unlikely event that it is intercepted.

You may choose to share your profile with a coach or another user.

All recommended coaches are registered with the International Coaching Federation (ICF), and adhere to the strictest confidentiality principles. These principles are set out by the ICF. Should you choose to share your profile with a coach, sharing of personal information with the coach will take place in terms of your specific agreement with the coach in question, and in accordance with the principles laid out by the ICF. WellKom will not be responsible in any way for any breach of confidentiality or security, in the unlikely event that this happens after you have agreed to share your profile and personal information with the coach.

Should you choose to share your profile with a friend or other outside person, you do so at your own risk. WellKom is not responsible for any breach of confidentiality or security which occurs after you have shared your profile with such an individual.

Links to other websites and services

Our Site includes links to other websites, apps or services whose privacy practices may differ from WellKom’s. When you use a link to an external site or service, the privacy policy and data processing disclosures for that site or service applies.

Retention

We also collect and maintain aggregated, anonymized information which we may retain indefinitely to protect the safety and security of our Site, improve our Services or comply with legal obligations.

Email and Mobile Notifications

We want to communicate with you only if you want to hear from us. We try to keep emails to a minimum and give you the ability to opt in to any marketing communications we send.

You may choose to receive certain marketing email communications, and from which you may opt out at any time by writing to technicalservices@wellkom.org, or clicking the unsubscribe button in the email.

We’ll also send you service-related announcements when it’s necessary to do so.

What they are

Cookies are small data files that are issued to your device when you visit a website and that store information about your use of a service. Social Media Platforms

Cookies and other technologies make interacting with social media platforms more seamless. For example, you can log in to your online wellness account using your social media credentials. These features are usually controlled by the social media platform you are using and are governed by its separate privacy policies and the preferences you set with that service.

Marketing

Cookies help us deliver targeted advertisements on social media platforms, based on your activity on WellKom, including the projects you’ve backed or creators you’ve followed on WellKom, and to track the performance of those ads. This is sometimes referred to as online behavioural advertising. In some cases, our partners may use cookies to provide us with information about your interactions with their services. Those third-party cookies would be subject to the third party service’s policies.

You can opt-out of online behavioural advertising. The Self-Regulatory Program for Online Behavioural Advertising program provides consumers with the ability to opt-out of having their online behaviour recorded and used for advertising purposes. We take security seriously, and the security of your personal data is important to us. We follow industry-standard practices to protect the data we collect and maintain, including using Transport Layer Security (TLS) to encrypt information as it travels over the internet. Your account information is protected by a password, which you should choose carefully and keep secure.

We undertake an analysis of the risks presented by our processing, and use this to assess the appropriate level of security we need to put in place.

We have an information security policy (or equivalent) and take steps to make sure the policy is implemented.

Where necessary, we have additional policies and ensure that controls are in place to enforce them.

We make sure that we regularly review our information security policies and measures and, where necessary, improve them.

We have put in place basic technical controls such as those specified by established frameworks like Cyber Essentials.

All user data is encrypted. We limit and restrict access to our database to 2 vetted employees inside our organisation. These individuals are security checked before allowing them access to the data. Periodic checks to ensure that your security measures remain appropriate and up to date.

We make sure that we can restore access to personal data in the event of any incidents, such as by establishing an appropriate backup process.

We conduct regular testing and reviews of our measures to ensure they remain effective, and act on the results of those tests where they highlight areas for improvement.

Where appropriate, we implement measures that adhere to an approved code of conduct or certification mechanism.

We ensure that any data processor we use also implements appropriate technical and organisational measures.
