Usage of Personal Data

Introduction

PublishOne uses personal data to identify a user and to connect that user to the role and related tasks of the client organisation’s work process. The following personal data is managed in PublishOne:

  1. User Name – the user’s name as entered by the user or client representative

  2. User Email – the user’s email address, which is the identification used in the login process.

Furthermore, the data is used to prevent unauthorised access to PublishOne and can be used to provide support to the user.

Details of Usage

The User Name is used for the following purposes:

  1. The User Name is the representation of the user in the PublishOne user interface

  2. The User Name is used to assign the user to content (for example a document) held in PublishOne

  3. The User Name is used in the work process history information.

The User Email is used for the following purposes:

  1. To identify the user at login and to provide secure access

  2. To secure the registration process

  3. To identify the user in the usage of PublishOne, i.e. when managing the client organisation’s content data

  4. To allow the user to receive email notifications regarding work process steps

  5. To provide the client organisation with a support point-of-contact

  6. To potentially provide system related updates to the user.

Cookies Used

PublishOne uses so-called ‘cookies’ to assist in the usage of the web application. Please refer to the PublishOne Cookie Policy to understand the purpose of that usage.

Client Organisation Data

The content held and managed in PublishOne is owned by the client organisation. This potentially allows the client organisation to store personal data in the application, but outside the control of PublishOne. Example locations are:
